About client reports

Whatever you do for a client, they want the same three things from the report: what happened, whether it's good, and what comes next. Fill in the rows that apply and Matcha writes it in about a minute.

Why it matters

Orders grew a little faster than visits, against , so each visit turned into an order slightly more often. For a shop that sells online, that is the number to watch.

Next month

Keep the holiday menu where it is on the homepage and track orders week by week through December, so any change is easy to place. Compare the posts that reached non-followers with the ones that didn't.

What a client wants from a report

A client reads a report to decide whether to keep paying you. They look for the result first, then for a reason they can repeat to someone else, then for what you plan to do. Platform detail and method rarely get read.

That is why this template stops at six rows. Website visits, leads or sales, followers, reach, engagements and ad spend cover a freelancer who handles a little of everything. A row that doesn't apply stays blank.

Write for the person who signs the invoice. They may not know what reach means, so the report explains it in a clause, once, and moves on.

Pick the one number they pay you for

Each client hired you for one result. For a bakery it's online orders, for a coach it's booked calls, and for a boutique it might be walk-ins that started with an Instagram post. The Leads or sales row is where it goes.

Matcha opens the report on that number and builds the rest around it. Reach and followers still appear, as support that explains how the result came about. If you want to be sure which number leads, say so in one line in the notes box.

When the result fell, lead with it anyway. A client who hears the bad number from you first, with a next step attached, keeps trusting the rest of the report.

Keep the shape the same every month

A client who gets the same layout each month learns where to look. By the third report they go straight to the sentence about the result and read the rest if something looks off.

Use the same rows for the same client every time, even when a number is dull. A flat month still goes in, with "flat" written next to it, because a missing row gets noticed.

Matcha holds the order steady for you: the result first, then what changed, why it matters and what happens next.

Questions

Is this free?
Yes, with no account needed. A fair use limit applies each day. Pro is $49 a month, and early access is open on the home page.
What if I do different work for different clients?
Fill in the rows each client's report needs and skip the rest. A client with no ads has no ad spend line. For a channel with its own numbers, the Instagram, TikTok and Meta ads templates have rows to match.
Can I use it for a new client with only a few numbers?
Yes. A report written from two or three rows still works. Matcha writes about what you give it and doesn't fill gaps.
How long should a client report be?
Short enough to read on a phone in two minutes. Matcha writes a few short paragraphs, each about one number, and you can cut anything the client doesn't need.
How do I get it to the client?
Copy the text into your own email, or share a link the client opens on any device. Sharing a link asks for your email address the first time.
What happens to my client's numbers?
When Claude writes the report, it reads them and your notes. A CSV is read in your browser, and screenshots are read once and dropped. We keep the report, which quotes the figures it explains, and drop the numbers themselves. Turn on 'Show the numbers table on the link' in Share to show them as a table on the shared link. A nickname works in place of the client's real name.

Your numbers are the only thing missing.
